5 Ways to Display a QR Code at Your Live Event

If you've read our previous posts on PixiWeb for live events you already know how valuable this tool can be to add to your in-person event.

If you didn't get a chance to read it, check out Virtual Photo Booths for Live Events. In that article, we discussed how a critical element for popularizing and promoting your virtual photo booth to your live event attendees is making sure that attendees know how to access it.

One of the easiest ways to promote your virtual photobooth website to your live event audience is through a QR Code linked to your PixiWeb URL.

In this post, we're going to go over five of the most successful and easy ways to implement your QR Code inside of your live event so all of your attendees know how to get in on the fun.

What’s a QR Code?

A QR Code is similar to a bar code in that it is a machine-scannable image that can instantly be read by a smartphone camera. When you scan a QR Code a pop-up notification will appear on your screen. Tap the pop-up notification to run the action contained in the QR code, such as sending you to a website or opening an application.

Perhaps it’s needless to say, but QR Codes have hit in a really significant way since COVID-19 rocked the world. There aren’t too many of us who haven’t ordered from a QR code menu, accessed a QR Code wifi link, or scanned a QR Code for website access in the past year.

What many parts of the world have known for years is now a reality to the rest of us; QR Codes are insanely valuable and easy to use.

Here are 5 great ways to display your QR code at your event:

1. Pre-Event Communication

Whether your event is virtual, hybrid, or in-person there are always pre-event emails, invitations, and notifications going out to attendees ahead of time. Letting them know what to expect, what to be excited for and any other pertinent information they should know as attendees; this is a perfect way to get some early traction for your live event.

We always advise our clients to make sure that their guests know about PixiWeb early and often (according to the PixiWeb Success Playbook).

One great way to get the party started is to include the QR code for your PixiWeb gallery in your communications when they go out. It's a great way to get your guests excited in advance of the event, capture some of their getting ready photos, and generally have an awesome way to get the party started early and have everyone familiarize themselves with the process.

2. Tickets!

There are a lot of ways to class up a QR Code these days. There are even some services that will allow you to embed the QR Code directly into your company logo or some other graphic design you have developed.

One way to make sure your guests don’t lose track of their QR Code is to put it right on their ticket.

Whether a printed badge or a PDF ticket, dress it up, make sure that it matches the design and creative of the event, but put it on there with a clever CTA like “Show us your “Getting Ready” photos” to get some momentum going. People love to show off their outfits often and early; this is the perfect way to do so.

3. Add Your QR Code to PixiWeb Live Slideshow

Every PixiWeb package includes our Live Slideshow feature which is a great way to show off all of the fun photos your attendees have uploaded. So if your event or venue has a projector or flatscreen tv you should definitely consider using the PixiWeb Live Slideshow feature —it’s a full-screen slideshow that updates everytime a guests adds a photo!

Try adding your QR Code to the PixiWeb gallery so when it comes up on the slideshow attendees can scan the slideshow to add their own photo!

Bonus tip: If you have sponsors for your event, adding their logos to the PixiWeb gallery is an awesome way to get them a little more exposure to your attendees. It’s a win, win for everyone!

4. PixiWeb QR Code Signage

One sure-fire way to spread the QR code for your PixiWeb event around your venue is to display it with dedicated signage.

Whether you want to create something yourself with a tool like Canva, have your graphic designer create posters that match the theme of your event, or use one of our free templates (we have 100 free themes waiting for you!) — physical signage is a great way to spread the QR code around.

Bonus tip: You’ll want dedicated QR code signs to include:

  • a call to action (for instance, “Scan Me” or “Scan to add photo”)

  • some sort of incentive (for instance, “Add your photo for a chance to win ________!” or “Show off your ________ spirit!” or “Celebrate the marriage of _________ and add your reception photos here!”)

  • the QR code (obviously…)

5. QR Code Station Cards & Placecards

While general posters and signage are a great way to spread your QR code around, a more subtle option could be to create simple cards that can be placed on surfaces throughout your venue. A reminder at the bar or buffet is a great way to give people something to do while they're waiting.

Speaking of things to do while they're waiting...how about a quick selfie!

Another really fun, unique, and personalized way to get guests interacting with your virtual photo booth is to add the QR code to each and every place setting.

Don’t forget to personalize the messaging for the different areas you’ve placed QR Codes. Perhaps asking guests to snap a photo with the person they’re sitting next to or reminding them to upload their favorite photos of the ceremony; or the keynote speaker. 

The opportunities are really endless when you get creative about what the prompts are that accompany your QR Code. It’s the best way to turn your attendees into your photographers — all the while giving them something fun to do
